Terms & Conditions

Royelz Martial Arts & Fitness

Terms & Conditions

By booking a class, course, club or activity with Royelz Martial Arts & Fitness, you confirm that you have read and agree to the following Terms & Conditions.

1. Bookings & Payments

All places are subject to availability and are only confirmed once the required booking and payment have been completed.

Fees must be paid by the stated deadline. Royelz Martial Arts & Fitness reserves the right to refuse participation where fees remain outstanding.

Where a booking covers a full half-term, course or block of sessions, the fee secures the participant's place for the entire booking period.

2. Cancellations, Refunds & Credits

Customer Cancellations

Customers may cancel their booking within 48 hours of the original booking being made and receive a monetary refund.

After 48 hours, monetary refunds will not be provided. Where a cancellation is accepted after this period, the value of the cancelled booking will be provided as account credit to be used towards a future eligible Royelz Martial Arts & Fitness booking.

No monetary refund will be provided for individual sessions missed due to illness, holidays, other commitments, late arrival or non-attendance. Any credit offered in these circumstances will be at the discretion of Royelz Martial Arts & Fitness.

Sessions Cancelled by Royelz Martial Arts & Fitness

If Royelz Martial Arts & Fitness cancels a session, we will aim to provide a replacement session where reasonably possible.

Where a replacement session cannot be provided, customers will be offered an appropriate monetary refund or account credit for the affected session.

Nothing in this policy affects your statutory rights.

3. Medical Conditions, Injuries & Additional Needs

Parents/guardians must provide accurate and up-to-date information regarding any medical condition, allergy, injury, disability, additional need or medication that may affect their child's participation.

Parents/guardians are responsible for informing Royelz Martial Arts & Fitness of any relevant changes to this information.

Participants should not take part where an illness or injury makes participation unsafe. Parents/guardians should speak to the instructor where they are unsure whether their child is fit to participate.

4. Safety & Martial Arts Participation

Martial arts, sport and physical activity involve an inherent risk of accidental injury.

Royelz Martial Arts & Fitness will take reasonable steps to provide a safe training environment, appropriate instruction and suitable supervision.

Participants are expected to follow the instructions of coaches and instructors at all times. Techniques must only be practised as instructed and must not be deliberately used in a way that could endanger the participant or another person.

Appropriate protective equipment must be worn where required.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

5. Behaviour & Conduct

Royelz Martial Arts & Fitness aims to provide a safe, positive and respectful environment for all participants, staff and families.

Bullying, abusive or threatening behaviour, discrimination, deliberate violence, persistent disruption or behaviour that places another person at risk will not be accepted.

Participants are expected to listen to their instructor or coach, respect other participants and behave appropriately throughout the session.

Where behaviour is considered unsafe or inappropriate, a participant may be asked to sit out of an activity.

In serious or repeated cases, Royelz Martial Arts & Fitness reserves the right to remove a participant from a session, course or club where this is considered necessary to protect the safety or wellbeing of others.

6. Arrival & Collection

Parents/guardians are responsible for ensuring that children arrive at the correct location and at the appropriate time.

Children must be collected promptly at the end of the session unless alternative arrangements have been agreed with the school or Royelz Martial Arts & Fitness.

Parents/guardians must ensure that emergency contact details are accurate and kept up to date.

For school-based clubs, the school's agreed collection, dismissal and safeguarding procedures may also apply.

If someone different will be collecting a child, parents/guardians should notify the appropriate school or Royelz Martial Arts & Fitness where required.

7. Emergency Medical Treatment & First Aid

In the event of an accident, injury or medical emergency, appropriate first aid may be administered where required.

Royelz Martial Arts & Fitness will make reasonable efforts to contact the participant's parent/guardian where necessary.

Where urgent medical treatment is considered necessary and a parent/guardian cannot immediately be contacted, appropriate emergency assistance may be sought in the best interests of the child.

8. Photography & Video

Photographs or videos may occasionally be taken during Royelz Martial Arts & Fitness activities for coaching, promotional, website or social media purposes.

Images of children will only be used where appropriate consent has been obtained.

Parents/guardians may decline or withdraw consent for promotional photography or video by contacting Royelz Martial Arts & Fitness.

Where a school has its own photography and media procedures, these may also apply to school-based clubs.

9. Personal Information & Data Protection

Personal information will be handled in accordance with applicable UK data protection legislation.

Information provided through the booking process may be used for purposes including:

managing bookings and payments;

communicating with parents/guardians;

delivering sessions safely;

maintaining attendance records;

responding to medical or emergency situations;

safeguarding; and

meeting relevant legal, insurance or governing body requirements.

Information may be shared with relevant schools, governing bodies, emergency services or other appropriate organisations where there is a legitimate safeguarding, legal, insurance or operational reason to do so.

10. School-Based Clubs

Where Royelz Martial Arts & Fitness delivers an after-school, breakfast, lunchtime or other school-based club, participants must also follow the relevant school's rules, safeguarding procedures and behaviour expectations.

School events, closures, timetable changes or other circumstances outside the reasonable control of Royelz Martial Arts & Fitness may occasionally affect scheduled sessions.

Where a school makes changes that affect a club, Royelz Martial Arts & Fitness will communicate relevant information to parents/guardians where appropriate.

11. Changes to Sessions

Royelz Martial Arts & Fitness reserves the right to make reasonable changes to instructors, coaches, activities, venues, session content or session arrangements where necessary.

Parents/guardians will be informed of significant changes wherever reasonably possible.

A change of instructor or reasonable adjustment to the content of a session does not constitute cancellation of the session.

12. Personal Property

Participants are responsible for their own belongings while attending sessions.

Royelz Martial Arts & Fitness cannot accept responsibility for loss, theft or damage to personal property unless caused by our negligence.

Valuable items should not be brought to sessions unless necessary.

13. Clothing & Equipment

Participants should attend sessions wearing appropriate clothing and footwear for the activity.

School-Based Clubs

Children attending a Royelz Martial Arts & Fitness school-based club are not required to wear a Taekwondo uniform (dobok).

The school's PE kit or other suitable sports clothing is sufficient for participation.

Participants should wear appropriate footwear where required and remove jewellery, watches or other items that could present a safety risk during physical activity.

Any specialist equipment required for the session will normally be provided by Royelz Martial Arts & Fitness unless parents/guardians are advised otherwise.

Royelz Martial Arts & Fitness Main Classes

Participants attending regular Royelz Martial Arts & Fitness Taekwondo classes may be required to wear the approved Royelz Taekwondo uniform in accordance with the club's uniform requirements.

As students progress, appropriate protective equipment may also be required for activities such as sparring.

Parents/guardians are responsible for ensuring that any required personal protective equipment is brought to sessions where applicable.

14. Safeguarding

The safety and welfare of children participating in our activities is a priority.

Royelz Martial Arts & Fitness follows appropriate safeguarding procedures.

Where there is a safeguarding concern, relevant information may be shared with the school's Designated Safeguarding Lead, local authority, police, social care or another appropriate organisation where necessary to protect a child or where disclosure is required by law.

15. Acceptance of Terms

By completing a booking, the parent/guardian confirms that:

the information provided for the participant is accurate and complete;

all relevant medical conditions, allergies, injuries and additional needs have been disclosed;

emergency contact information provided is accurate;

they understand that martial arts, sport and physical activity involve an inherent risk of accidental injury;

they understand and accept the cancellation, refund and credit policy;

they agree to these Terms & Conditions; and

they have the authority to make the booking on behalf of the participant.

Royelz Martial Arts & Fitness reserves the right to update these Terms & Conditions where reasonably necessary. The terms applicable to a booking will be those made available at the time of booking, subject to any changes required by law.
